808 Talent Ltd ("808 Talent", "we", "us", "our") is a retained executive search firm. We take the privacy of the people we work with seriously: candidates, clients, and visitors to this website. This policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights you have over it.

We are the data controller for the personal data described in this policy. We are registered in England and Wales, company number 08910071, VAT number 188 8663 36, with our registered office at Eventus, Sunderland Road, Northfields Industrial Estate, Peterborough, PE6 8FD.

Who this policy covers

We hold personal data about three main groups of people:

  • ▸Candidates and prospective candidates: senior leaders and executives we may approach, assess, or introduce to our clients, whether or not you have applied to us directly.
  • ▸Clients and prospective clients: the businesses that engage us to run a search, and the individuals we deal with at those businesses.
  • ▸Website visitors: anyone who uses this website or contacts us through it.

The personal data we collect

Depending on your relationship with us, we may collect and hold:

  • ▸Contact details, such as your name, email address, telephone number, and the company you work for.
  • ▸Professional information, such as your CV or career history, current and previous roles, seniority, areas of expertise, remuneration expectations, notice period, and location or willingness to relocate.
  • ▸Information relevant to a search, such as our own notes and assessments from conversations with you, references where you have provided them, and the outcome of any introduction.
  • ▸Business information about our clients, such as the details of a brief, the shape of a role, and the correspondence relating to an engagement.
  • ▸Website and enquiry information, such as the details you send us by email and basic technical data collected when you visit the site.

We do not seek to collect special category data (for example, information about health, ethnicity, or political views). Please do not send us such data unless it is necessary and you are comfortable doing so.

Where we get your data

We collect personal data:

  • ▸Directly from you, when you email us, share your CV, or speak with us about a search.
  • ▸From our own network and professional sources, which is central to how executive search works. We identify and research senior leaders using publicly available and professional sources such as LinkedIn, company websites, industry publications, and events. We may hold information about you as a potential candidate before we have spoken with you.
  • ▸From our clients, where they provide information relevant to a search.
  • ▸From referrals, where someone in our network recommends you or provides an introduction.

Why we use your data, and our lawful basis

Under UK data protection law we must have a lawful basis for using your personal data. We rely on the following:

Legitimate interests. Executive search depends on identifying and maintaining relationships with senior people in a defined market. We rely on our legitimate interests to research potential candidates, to hold and organise candidate information, to approach people about relevant opportunities, and to run our business. We have considered the impact on your privacy and believe our use of your data is proportionate and within your reasonable expectations for a professional in a senior role in this sector. You can object to this use at any time (see Your rights below).

Consent. Where we introduce you as a candidate to a client, we do so with your explicit consent. We will not share your details with a client without your agreement. Where we rely on consent, you can withdraw it at any time.

Contract. We use client contact and engagement data to negotiate and perform our contracts with clients.

Legal obligation. We use certain data where we are required to by law, for example to meet tax, accounting, and regulatory obligations.

Who we share your data with

We do not sell your personal data. We share it only where necessary:

  • ▸With clients, and only with your consent, when we introduce you as a candidate.
  • ▸With trusted service providers who help us run the business, such as our IT, cloud storage, CRM, accounting, and communications providers. These providers act on our instructions and are bound to protect your data.
  • ▸With professional advisers and authorities, where required for legal, accounting, or regulatory reasons.

Use of AI

We use a small number of AI tools to help us work more efficiently. People at 808 Talent make every decision about candidates and searches. No AI tool decides who is shortlisted, put forward or hired.

The tools we use are:

  • ▸Fathom, which takes notes on video calls. You can ask us not to use it on any call. When it does run, you get a copy of the notes too.
  • ▸Plaud, which records and transcribes some of our conversations at conferences and trade shows, so we have an accurate record of what was discussed. We will tell you before we record.
  • ▸ChatGPT, for research into companies, markets and the industry.
  • ▸Claude, for our website and presentations.
  • ▸Atlas, our CRM, where we keep candidate and client records.
  • ▸LinkedIn Recruiter, to find and contact potential candidates.

We do not put CVs into ChatGPT or Claude. The CVs we hold come from candidates themselves, with their consent, and are kept in Atlas.

International transfers

808 Talent works across North America and EMEA, and some of our searches, clients, and candidates are based outside the United Kingdom. As a result, your personal data may be transferred to, or accessed from, countries outside the UK, including the United States. Where we transfer personal data outside the UK, we take steps to ensure it is protected by an appropriate safeguard, such as an adequacy decision or standard contractual clauses, so that it receives a level of protection consistent with UK law.

How long we keep your data

We keep personal data only for as long as we need it for the purposes described in this policy.

For candidates, we retain your data for as long as it is useful to you and to us within this market, so that we can consider you for relevant future opportunities, and we review this periodically. If you ask us to delete your data, or to stop considering you for opportunities, we will do so.

For clients, we retain engagement data for the duration of our relationship and for as long afterwards as we are required to for legal, tax, and accounting purposes.

For website enquiries, we retain your message for as long as needed to respond and to follow up appropriately.

Cookies and website analytics

This website may use a limited number of cookies and similar technologies to help the site function and to understand how visitors use it. You can control cookies through your browser settings. If we introduce non-essential analytics or tracking, we will ask for your consent where required.

Your rights

Under UK data protection law you have the right to:

  • ▸Ask what personal data we hold about you and request a copy of it.
  • ▸Ask us to correct data that is inaccurate or incomplete.
  • ▸Ask us to delete your data in certain circumstances.
  • ▸Ask us to restrict how we use your data, or object to our use of it, including our use based on legitimate interests and any use for direct marketing.
  • ▸Ask us to transfer your data to another provider where this applies.
  • ▸Withdraw your consent at any time where we rely on it.

Complaints

If you are concerned about how we have handled your personal data, we would like the chance to put it right, so please contact us first at sarah@808talent.com. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Where changes are significant, we will make that clear.
